Many organisations assume that staying on top of EU funding means constantly checking for new calls. In reality, it’s much more about having the right monitoring process than spending more time searching. 

Keeping track of EU funding opportunities can be challenging. The information is publicly available, but it’s spread across different platforms, programmes and communication channels. Without a clear system, it’s easy to spend more time searching than evaluating the opportunities that matter most.

The good news is that it doesn’t have to become a time-consuming task. Here is how to build a system that keeps you informed without burning you out.

Set the right trigger

When funding is a priority, it’s easy to fall into the habit of checking portals every day, subscribing to multiple newsletters and running countless saved searches. While these activities can be useful, they often generate more information than most teams can realistically process.

A more effective approach is to set up a small number of high-quality alerts and trusted information sources that are tailored to your organisation’s needs. The goal is not to see every call but to never miss the right one.

Start by defining what you’re looking for. Which funding programmes align with your activities? What size of grant can you realistically manage? Which funding schemes—whether collaborative projects, lump sum grants or cascade funding—fit your current objectives? The more specific your criteria, the less noise you have to filter out.

Build a system, not a habit

Manual monitoring is fragile. It depends on someone having the time to check regularly, interpret the information and share it with the rest of the team. One busy week and you’ve missed something.

Instead, consider putting a few simple systems in place:

A shared call log for your team. A simple spreadsheet or dedicated tool where relevant calls are logged as they come in, with deadlines, eligibility notes, and a rough fit assessment. It takes five minutes to update and saves hours of collective effort when a deadline approaches. 

The 48-hour response framework

When a relevant call lands, the first 48 hours matter more than most teams realise to assess whether it’s worth pursuing. The objective isn’t to start writing the proposal immediately, but to make informed decisions early. 

In those 48 hours, you want to answer three questions:

Is this actually a fit? Read the call text carefully, not just the summary. Check the eligibility criteria, the expected consortium structure, the budget range, and the thematic priorities. A call that looks relevant on the surface can quickly reveal itself as a poor match once you read the detail.

Do we have what we need? Time, capacity, the right partners, a concept that genuinely aligns with the call’s objectives. Be honest here. Forcing a fit rarely ends well.

Who should be involved?  If you are going to pursue it,involve key decision-makers and potential partners as early as possible. Early alignment usually leads to better planning and a more structured proposal process. 

If the answer to all three is yes, you commit. If not, you move on without guilt, because the next call is already coming.

Prepare before the next call opens

One of the highest-leverage things you can do between active calls is build a library of reusable materials. An up-to-date organisation profile. A clear articulation of your technology or methodology. Past proposal sections that can be adapted. A list of potential consortium partners with contact details and notes on what they bring.

This library doesn’t have to be elaborate. A well-organised folder and a few living documents is enough. But when a call drops with a tight deadline, being able to reach for a strong first draft rather than starting from scratch changes everything.
